How to Store and Manage Cloud Files Using the Box App

The Box app helps you to organize and share audio, video, or image files. Nowadays, selfies, photos, and documents fill our mobiles. It's also tedious to organize them, keep track of copies of files, manage different versions efficiently. This becomes more challenging with limited space on mobile.

The Box Mobile app is free with 10 GB storage and can be upgraded to Personal Pro. You can use it as a stand-alone or with Box Drive, a secure cloud-content management tool. Let's learn how you can make the most of the free version of the mobile app.

Understanding the Box App

After downloading the Box Mobile app, provide your email credentials and create an account. On the home screen, you can add or view files, search for them, or access collections. To access the files you recently worked on, tap the Recent tab. This feature is handy when you are working on multiple files. You can use the Inbox feature only if you are using Box Drive as well.

By tapping on your profile, you can view and configure the settings for the app. You can manage cache, set push notifications and security features, or configure files. For more information, you can access the FAQs and view the page in the browser.

Adding Content to the App

Box app allows you to take photos or video, scan a document, record an audio file and create a note. You can also upload photos from your library. The scan document feature is handy as it eliminates the need to install third-party or potentially unsafe scanners.

Ensure that you grant relevant permissions for the Box app to access the camera, microphone, or your default photo library. The app runs in the background, so you can record audio while accessing other apps.

  1. On the home screen, tap the Plus icon to add a file.
  2. To add a photo, tap Choose from Library, select the photo, and tap Upload.
  3. To scan and upload a document to the app, tap Scan document. You can select the color settings.
  4. If you want a file to be available offline, tap the ellipsis next to the file and select, Make Available Offline. The file is displayed on the Offline tab.

Organizing Files and Folders

You can organize and categorize files by creating folders on the Collections tab.

  1. You can create a collection by tapping, Collections > plus icon.
  2. Alternatively, to create a new collection from the home screen, tap the ellipsis next to the file and tap Collections.
  3. Give a meaningful name to your collection and tap Create.
  4. You can mark a file as a favorite for easy access by tapping on the ellipsis next to the file name and selecting Collections>Favorites.

A file that is a part of a collection or marked as favorite can be identified with the star sign.

Sharing a File

You can share a file with others from the home screen by inviting collaborators or creating a shareable link.

  1. Click the ellipsis next to the file and tap the Share option.
  2. Click Invite collaborators and enter the name or email of the person.
  3. Select the access rights.
  4. To generate a shareable link, tap Link and tap the Enable Link option.
  5. You can select the audience of the link, make it downloadable, and set expiry date.

Performing Additional Function on Files

You can rename a file, delete it, view more information, and Move or Copy a file by tapping the ellipsis next to the file name.

To leave notes on a file, open it and tap the Comments icon.

Security Settings

You can enable security features such as retaining data, duration to keep you logged in to the app, or setting a passcode.

  1. On the Settings screen, tap Security.
  2. To create a passcode for the app, tap Turn Passcode On and enter the passcode twice.

To further enforce security, you can enable the Touch ID to open the app.

The free version of the Box Mobile app comes with 10 GB of storage space. The Personal Pro pricing plan is available at $10.42/month or $124.99/year and has 100 GB of storage.

You can upgrade to the paid plan from within the app. However, if you are a business user and want to explore all the pricing models for your organization, it is better to visit the Box website. To manage your plans, tap your profile and select Upgrade > Upgrade Now.

Managing Your Files Securely

With its ease of use and generous storage, the Box app makes a great choice. However, the features to perform the same task on different screens of the app can confuse first-time users.

The app competes with Google Drive and iCloud Storage. So, if you are a part of the Google or Apple ecosystem, then using Box might be overkill. However, if you are an existing user of Box Drive, the mobile app is helpful and provides mobility.
